Getting Started

The minimum setup required to generate and send your first Update Records with Forms link.

Step 1: Install the app

Install Update Records with Forms into the relevant HighLevel Agency or Sub-account.

Step 2: Create or open a workflow

Navigate to HighLevel Workflows and create a new workflow, or open an existing one.

Step 3: Add the Update Records with Forms action

Add the app's workflow action at the point in the workflow where the CRM record is already known, or where a new record should be created.

Step 4: Select the object

Choose the CRM object the form will work with:

  • Contact
  • Business
  • Opportunity
  • Any HighLevel Custom Object

Step 5: Supply a Record ID

For an existing record, supply the appropriate HighLevel record ID using a workflow variable.

The Record ID is used internally to identify the CRM record. It does not need to appear as a field on the public form.

If the Record ID is left blank, the form operates in creation mode — see Creating New Records.

Step 6: Configure the form

Configure:

  • visible fields
  • hidden fields
  • read-only fields
  • required fields
  • Form Instructions
  • file behaviour
  • submission settings
  • Redirect on Submission
  • expiry settings where available

Optional, Contact and Opportunity forms: turn on Send Verification Code in step 6 to require a one-time SMS or email code before the form opens. See Send Verification Code.

Step 7: Use the generated Form URL

The workflow action returns a secure form_url. Use this URL in an email, SMS, internal notification, workflow, button or another supported HighLevel action.

After the first link goes out

Two things are worth setting up once, in the Forms dashboard inside HighLevel:

  • Your own link domain. Settings gives you the DNS records to create and a check that confirms when they have propagated, so links open on a hostname you own rather than the default. See Custom domain.
  • Managing links you have already sent. Retire a link early, reactivate a retired or expired one for 30 days, or bulk-edit settings across many links at once. See Forms Dashboard.
